Who we are
Paqido provides the Paqido business management app and the related web services at paqido.africa (together, the “Service”). The Service helps businesses manage sales, inventory, purchasing, accounting, staff and related day-to-day operations. In this policy, “we”, “us” and “our” mean Paqido.
Your business and us
Most of what is stored in Paqido is entered by a business that uses the Service (the “Business”), about its own customers, suppliers, staff and sales.
- For that business data, the Business decides why and how it is used. We process it on the Business’s behalf to run the Service.
- For account, billing and security information about the people who sign in, we decide how it is used, as described here.
If you are a customer of a Business and want to see, correct or remove information it holds about you, please contact that Business first. We will help it respond.
What we collect
| Information | Details |
|---|---|
| Account | Name, email address, phone number, password (stored only in hashed form), your role and permissions, and the business you belong to. |
| Business records | What you enter: products, prices, stock levels, suppliers, purchase orders, expenses, assets, staff and payroll records, customer names, phone numbers, email and delivery or farm addresses, sales, orders, invoices, payments and accounting entries. |
| Pharmacy and clinic records | For businesses that use the pharmacy features: prescriptions, dispensing and refill records, medicines and batches, controlled-substance logs, insurance claims and, where the business records them, a patient’s name, date of birth and medication history. This is health information. It is entered by the pharmacy or clinic, used only to run its records, and visible only to its authorised staff. |
| Photos | Images you choose for products or profiles. The camera is used to scan barcodes and to take a photo when you ask it to. Barcode scanning happens on your device; the camera feed is not stored or sent to us. |
| Payments | The method and amount of each payment. If your Business turns on a payment gateway, you are sent to that gateway to pay, and it handles card or mobile money details itself. We do not store full card numbers. |
| Tax filings | For businesses that connect a tax e-invoicing system, such as the Malawi Revenue Authority’s Electronic Invoicing System (MRA EIS): invoice numbers, items, amounts and tax and, for business-to-business sales, the buyer’s tax identification number, which are sent to that tax authority. |
| Device and connection | Whether the device is online, and the technical details needed to sync your data. We do not use advertising IDs and we do not collect your device location. |
| Data on your device | So the app works without internet, sales and other changes are kept in a local database on your device until they sync. |
How we use it
- To provide the Service: sign you in, run the till, keep stock and books, print and share receipts, and sync between your devices.
- To submit invoices to a tax authority’s e-invoicing system when your Business has connected one.
- To send account emails such as invitations, verification and password resets.
- To keep the Service secure, prevent fraud and misuse, and keep audit trails.
- To bill subscriptions and give support.
- To meet legal obligations.
Security
Data travels over encrypted HTTPS connections. Sign-in tokens are kept in your device’s secure storage, and you can protect the app with your device’s fingerprint or face unlock. Inside a Business, access is controlled by roles and permissions, and important actions are recorded in an audit trail.
No system is completely secure. Please use a strong password and keep your devices safe.
How long we keep it
We keep information while your account or your Business’s subscription is active. Afterwards we keep only what is needed to meet legal, tax, accounting and audit duties, and for as long as those duties last. Then we delete or anonymise it.
Your rights and deleting your data
You can ask us to access, correct or export your personal information, to delete it, or to object to or restrict some uses of it.
- In the app: Profile → Delete account
- On the web: paqido.africa/auth/account-deletion
- By email: admin@paqido.africa, from the address on your account
We will confirm it is you and respond within 30 days. If you own a Business, you need to transfer ownership or close the Business first. We may keep information the law requires us to retain, such as sales and tax records, and we will tell you what we kept and why.
Children
The Service is for businesses and is not meant for anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this policy. We will post the new version on this page and change the date at the top. For material changes we will tell you in the app or by email before they take effect.
